Port Hotel Eastbourne Terms & Conditions

Bookings

Room prices are displayed on the Port Hotel Eastbourne website. We offer a range of prices, which can change at any time depending on availability and demand.

For our flexible rates, we take a 50% deposit at the time of booking and the remaining 50% within 48 hours prior to arrival. Full refunds will be given for cancellation of bookings provided a minimum of 48 hours (from check-in, 3pm) notice is given.

All non-refundable and promotional bookings at Port Hotel Eastbourne require full pre-payment at the time of booking. However, bookings made at these rates cannot be refunded for any reason. There may be additional terms and conditions specific to each promotional offer and these are clearly shown in the booking process.

On very rare occasions we may need to cancel your booking. In such circumstances, you will be given a full refund, but we shall have no further liability to you arising out of such cancellation.

We will, however, use reasonable endeavours to try and re-locate any confirmed booking cancelled by us to an alternative similar standard hotel.

Cancellation Policy for Group Bookings

The hotel authorities define group bookings as more than 2 rooms.

In case of a reservation cancellation or any change, the hotel requires the customers to inform the hotel authorities at least five days in advance.

Cancellation Policy for Weddings and other Big Events

In case of a reservation cancellation or any change, the hotel requires the customers to inform the hotel authorities at least fourteen days in advance.

The hotel authorities reserve the right to charge 100% of the booking fee or advance if the cancellation is done in less than 30 days of scheduled date.

No shows and cancellations

If you do not check in on the scheduled day of arrival (or cancel without the appropriate notice), we reserve the right to cancel any remaining nights on the booking, unless you request otherwise.

Payment (including extras at the hotel)

Guests must present the payment card that was used to pay for the booking at check-in, for security purposes. On arrival at the hotel, we will take your credit/debit card details for any extras or charges during your stay (in particular, if you have booked via an OTA and we don’t have your personal card details). If you refuse to provide valid card details, we can refuse to check you in. We reserve the right to charge the card for any charges or extras that are incurred in accordance with these terms and conditions.

We do NOT accept cash for room payments.

Breakfast

Our rooms are a room rate only offer, unless breakfast is specified as being included.

However you can add breakfast as an ‘Enhance Your Stay’ option in the booking process.

The breakfast addition is £15.00 per person and includes:

·       Unlimited continental breakfast

·       Unlimited hot drink of your choice

·       Unlimited cold juice of your choice 

Parking

If travelling to us by car you can purchase a parking voucher from reception for £2. This will cover you for a whole day until 11am the next morning. These vouchers are subject to availability, as they are issued to us by the Council for the same cost. This will be provided when you check in. This voucher permits you to park on the road to the front of the hotel but you must ensure you park within the correct zone that corresponds with the voucher. We are not responsible for any voucher that has been used incorrectly.

Check-in and Check-out times

At Port Hotel Eastbourne, you may check into your room from 3.00pm and we ask you to check out by 11.00am on the day of departure. While you are welcome to request an early check-in, unfortunately, we cannot guarantee this as your room may not be ready.

You are also welcome to request a late check-out. If we can accommodate the request there will be a £15 additional charge per hour.  

Tips and service charge

At Port Hotels 100% of any tips, gratuities, and service charges are distributed in accordance with the Gratuities Committee agreement. We customarily apply a discretionary service charge of 12.5% to Food and Beverage bills.

Restaurant & bar

Please see Breakfast / Brunch above for the terms and conditions relating to this meal as part of your stay. Please note we are now cashless and only accept card.

Our bar serves from 11am - 9.00pm on Sunday - Thursday and from 11.00am - midnight on Friday to Saturday.

We are open to guest chef residencies so if you would like to make use of our kitchen and restaurant for a pop-up lunch/dinner please get in touch with the team.

Corkage

Port celebrates the wines of Sussex and Kent and we urge you to try these often unknown, but delicious wines. We also strive to provide a great selection of wines that cater for all palettes and prices.

If you bring wine / alcohol / other beverages onto the property, you will be charged a corkage fee of £7.50 per bottle of wine / spirits and £5.00 per beer / other beverages. Port will not permit any wine or other beverages being brought into the restaurant, bar or terrace.

Lost Property

We understand that from time to time guests will leave items in the room. We will always try to arrange for these items to be sent back to you. As it happens quite frequently we charge £15 for doing this to cover time and postage costs. We reserve the right to charge more should the cost to us be higher.

You will find some wonderful design-led accessories and amenities in your room for your use and enjoyment during your stay at Port. These items are not for sale - should you take anything you will be charged a replacement cost as listed. Should you like to purchase any of the items please ask a member of the team and we will happily let you know where we sourced the items from.

Servicing rooms

Our housekeeping team will refresh your room daily, provided you place your “Yes Please” sign on your door by 11am each morning. If no sign is displayed we will not provide a refreshment service. For the sake of the environment, we will not change bed linen or towels during your stay unless you are staying for more than 3 days. Obviously if this needs changing for unexpected circumstances, we will help out. We cannot service rooms after 2.00pm, so please enable access and advise us before 2.00pm or we will not be able to refresh your room.

Children

The whole family is welcome at Port. We have especially suited family rooms at Port. We can accommodate baby cots (free of charge) and an extra fold-out bed (at a small additional cost) in some of our rooms, subject to availability. Please email hello@stayatport.com to make arrangements should you require this service.

Dogs

Well-behaved dogs are very welcome at Port Eastbourne. We only allow Medium or Small dogs as we cannot accommodate larger dogs comfortably. For information, a Medium / Small dog weighs under 15 kgs / 33 lbs. We may ask the breed of your dog when you make a room reservation as we do not allow dogs that shed as we’re trying to look after Port for the comfort of all guests.

We have 2 Dog Rooms on the lower ground floor and dogs are welcome (at management’s discretion) in our other rooms rooms, but please contact us directly.

The price of one dog is included in the “Dog Room” rate. An extra dog can be included in the Dog Rooms. To ensure that we will not impact the experience for all our guests we may restrict the number of dogs visiting the hotel at one time. 

Assistance dogs are welcome throughout the hotel. Resident dogs are welcome everywhere in the hotel, and in the Restaurant and Bar area and guests with dogs will be seated at the discretion of management to ensure we don’t have dogs that don’t like each other seated together. Dogs must be on leads at all times in all public areas and supervised at all times and owners are responsible for their dog and the dog's behaviour.

In the instance of any damages caused by a guest dog to the property, then we will regrettably have to charge the guest for such damages.

We allow non-resident dogs.

Smoking

Consistent with British Legislation, it is illegal to smoke inside the building at Port. Please do not smoke anything (including normal and electronic cigarettes) either inside the hotel public areas or in the bedrooms.

Anyone found smoking will immediately be fined £200.00 and management reserve the right to terminate their stay.

There will however be a designated smoking area clearly marked on the outside terrace.

Outside guests in bedrooms

Only registered guests are permitted to stay overnight in the rooms. Visitors to hotel rooms will only permitted at the discretion of management.

Accessibility

We are committed to ensuring that all guests have an exceptional stay with us. However, guests should be mindful that the hotel has 5 levels, we do not have a lift and access to all areas is restricted. Whilst we do have lower ground and first-floor bedrooms which are more easily accessed, guests should discuss their access requirements with us in advance of making a booking. We will be unable to offer a refund should you find on arrival that the room you have booked is not appropriate.

Hotel events

Please be aware that at certain times Port Hotel Eastbourne may host weddings, events and parties, which you may feel would be an intrusion on your break. Please contact the hotel directly in advance of your stay for further information.

Limitation of liability

To the fullest extent permissible under applicable law, we disclaim any and all warranties of any kind, whether express or implied, in relation to the services we offer you. This does not affect your statutory rights as a consumer under the Consumer Rights Act 2015 or your cancellation rights under these terms. If we fail to comply with these terms, we are responsible for loss or damage you suffer that is a foreseeable result of our breaking these terms or our failing to use reasonable care and skill, but we are not responsible for any loss or damage that is not foreseeable. Loss or damage is foreseeable if either it is obvious that it will happen or if at the time these terms were entered into, both we and you knew it might happen.

Nothing in these terms shall exclude or limit our liability for death or personal injury caused by our negligence or the negligence of our employees or agents.

Package travel, package holidays & package tours regulations 1992

We do not sell or offer for sale any “packages” or act as an “organiser” within the meaning of the Package Travel, Package Holidays & Package Tours Regulations 1992.

Guest behaviour

Guests are requested to conduct themselves appropriately at all times and to comply with Port Hotel procedures and/or requests with regard to conduct and respect for the property of the hotel, its employees and guests, and their health and safety. Guests are requested not to disrupt the comfort and enjoyment of other guests, the smooth running of the hotel, or cause offence to other guests or members of staff. We reserve the right to refuse accommodation or services or remove you and members of your party from the hotel if, in our reasonable opinion, we consider this provision to have been breached. Where this is the case we shall have no obligation to refund you for lost accommodation, other services or any other loss or expense incurred.

Your obligations

When staying at all of our hotels, you agree to comply with all licensing, health and safety, hygiene and all other applicable regulations. You also warrant that you will not cause damage to the premises. Port Hotel Eastbourne reserves the right to charge you the amount of making good any damage caused to our premises, as well as the cost of any items taken from our premises.

This agreement

Each paragraph of these terms operates separately. If any court or relevant authority decides that any of them are unlawful, the remaining paragraphs will remain in full force and effect.

Any provision of these terms that is expressly, or by implication, intended to come into or continue in force on or after termination of these terms shall remain in full force and effect.

Each party agrees that it shall have no remedies in respect of any statement, representation, assurance or warranty (whether made innocently or negligently) that is not set out in these terms and conditions.

Governing law

These terms and conditions are governed by English law.
